Seeking an experienced, proactive Executive Assistant to provide a high level of support to the SVP, Associate General Counsel and to the VP, Counsel, in the Corporate and Securities department, in a fast-paced, team-oriented environment. This is not a paralegal position.
Heavy calendar management; schedule appointments and coordinate meetings; answer and screen phone calls.
Edit, review, proof, redline/blackline and draft a high volume of legal documents and correspondence.
Coordinate and keep track of signature pages and other corporate documents; coordinate with outside vendor for submissions of annual corporate filings.
Prepare travel arrangements, itineraries and expense reports as needed.
Balance multiple, high visibility projects with strict deadlines.
Maintain the highest confidentiality and exercise discretion and sound judgment in handling sensitive matters and documents.
Other duties and projects as assigned.
5+ years of legal administrative experience within a corporate/transactional department at a reputable law firm or an in-house legal department
Advanced proficiency in MS Word, Outlook, Delta View, Adobe Acrobat, and a cloud/web based document management system. Knowledge of Autonomy, Excel and PowerPoint is a plus
Extensive experience redlining/blacklining documents is a must.
Exceptional attention to detail, high degree of organization and problem solving skills
Ability to work cooperatively in a team environment and interface with all level of employees and outside contacts
Possess excellent administrative, communication (verbal and written) and interpersonal skills
Maintain flexibility and willingness to work overtime as needed
Uphold composure and calm in a high volume, high-stress and deadline-oriented environment
